Overview
Virtual Health Visits (the "Site") is operated by Scout Theory LLC ("we," "us," or "our"). We respect your privacy and have designed this Site to collect as little personal information as possible while still being able to publish and improve our reviews.
We are not a healthcare provider. We do not receive, store, or transmit protected health information under HIPAA. If you share health details with us (for example, in a contact form message), that information is handled under this policy, not under HIPAA.
Information we collect
Information you provide
When you contact us through a form, request a correction, or sign up for any future newsletter, you provide information directly. This may include your name, email address, message content, and any attachments you choose to send.
Information collected automatically
When you visit the Site, our servers and analytics tools automatically collect:
- IP address (truncated or anonymized before storage where supported)
- Browser type, operating system, device type, and screen size
- Pages viewed, session duration, and referral source
- Country-level geographic location derived from IP
- Date and time of visit
We do not collect precise geolocation, contact lists, photos, or data from other apps on your device.
How we use information
We use collected information to:
- Respond to messages and requests you send us
- Publish, maintain, and improve our reviews and the Site
- Understand which content readers find useful (aggregated analytics)
- Detect and prevent abuse, fraud, and security incidents
- Comply with legal obligations
- Measure affiliate link performance (which links are clicked, aggregated)
We do not sell your personal information. We do not use your information to build advertising profiles or to target you with ads elsewhere on the internet.
Cookies and tracking technologies
We use a small number of cookies and similar technologies:
- Analytics cookies — Google Analytics 4 sets cookies to measure traffic and usage. GA4 is configured with IP anonymization. These cookies typically expire within 14 months.
- Affiliate tracking cookies — when you click an outbound affiliate link, the destination provider and their affiliate network may set cookies to attribute your referral. These cookies belong to the destination provider, not to us.
- Essential cookies — strictly necessary for basic Site functions such as remembering you've dismissed a notice.
Most browsers allow you to block or delete cookies. Doing so will not break the Site, but it may prevent aggregated analytics from recording your visit. We honor "Do Not Track" signals where technically feasible.
Affiliate links and referral tracking
Many outbound links on the Site are affiliate links. When you click one and complete a signup with the destination provider, that provider (or their affiliate network) may share with us:
- The fact that a referral originated from our Site
- A timestamp and, in some cases, a transaction identifier
- Aggregate commission data
We do not receive your name, email address, medical history, or treatment details from affiliate partners. Sharing and third parties
We share information only as described below:
- Service providers — hosting, analytics, email, and form processing vendors that act on our instructions under contractual confidentiality
- Legal compliance — when required by law, subpoena, court order, or to protect the rights and safety of our users or the public
- Business transfers — in the event of a merger, acquisition, or asset sale, information may transfer to the successor entity under equivalent privacy protections
We do not sell, rent, or trade your personal information with third parties for their own marketing purposes.
Your rights
If you are in the European Economic Area, United Kingdom, or Switzerland (GDPR)
You have the right to: access the personal data we hold about you, request correction of inaccurate data, request deletion, restrict or object to processing, request portability of your data in a machine-readable format, and withdraw consent where processing is based on consent. You may also lodge a complaint with your local data protection authority.
To exercise any of these rights, contact us through the contact page and select "Privacy or data request" as the topic. We respond within 30 days.
If you are a California resident (CCPA/CPRA)
You have the right to know what personal information we collect, to request deletion, to correct inaccurate information, and to opt out of sale or sharing for cross-context behavioral advertising. As stated above, we do not sell personal information and do not use it for cross-context behavioral advertising. You may also designate an authorized agent to make requests on your behalf.
How to make a request. Use our contact form and select "Privacy or data request." Please include enough information for us to identify you in our records and specify the right you are exercising. We will verify your identity before fulfilling requests that involve personal data.
Data retention
We retain information only as long as needed for the purposes described in this policy. Analytics data is retained for 14 months by default. Contact form submissions are retained for as long as reasonably necessary to address your inquiry and our operational needs, typically no longer than 24 months unless a longer period is required by law.
Security
We use reasonable administrative, technical, and physical safeguards to protect information from unauthorized access, disclosure, or loss. These include TLS encryption in transit, access controls, and limiting collection to what we actually need. No internet transmission or storage is ever perfectly secure, and we cannot guarantee absolute security.
Children's privacy
The Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact us and we will delete it promptly.
Changes to this policy
We may update this policy from time to time to reflect changes in practice or law. Material changes will be indicated by updating the "Last updated" date at the top. Continued use of the Site after changes indicates acceptance of the revised policy.
